Job Summary
Mann Law, a client-centered plaintiff’s personal injury law firm, is seeking a reliable, personable, and proactive individual to join our team. This position is the first point of contact for our clients, attorneys, and visitors. The ideal candidate will have strong multitasking abilities, thrive in a fast-paced environment, and be a self-starter who takes initiative. This is a key position for maintaining the firm’s high standards of client communication and office efficiency.
Key Responsibilities
- Greet clients and visitors in a professional and compassionate manner
- Answer multi-line phone system, route calls appropriately, and take detailed messages
- Speak with potential clients and conduct a thorough intake utilizing our case management software
- Schedule and confirm client appointments and meetings for attorneys and staff
- Manage incoming and outgoing mail, deliveries, and courier services
- Maintain a clean, organized, and welcoming reception area
- Assist with current clients cases by sending out initial letters to various insurance companies
- Support office staff with administrative tasks such as data entry, filing, scanning, and document handling
- Ensure strict confidentiality of all client and case information
- Handle multiple responsibilities efficiently while maintaining attention to detail
Qualifications
- Associate or bachelor’s degree from an accredited college or university is preferred
- 3+ year of experience in a receptionist, administrative, or customer service role (law firm or medical office experience preferred)
- Excellent verbal and written communication skills
- Must have strong multitasking skills and the ability to prioritize in a fast-paced environment
- Must be a self-starter with the ability to work independently and anticipate needs
- Professional appearance and demeanor
- Proficient in Microsoft Office (Word, Outlook) and legal case management software (Clio)
